What should I be aware of in connection with written exams in lecture rooms?

Submission of examination assignments

The deadline for submission of examination assignments to Study and Students’ Affairs is ten working days before the exam. If the deadline is not observed, Study and Students’ Affairs may be forced to cancel the exam.

 

Examination assignments must be submitted in a number corresponding to one copy for each student + 15 copies. At exams with more than 150 students sitting the exam, Study and Students' Affairs needs one copy for each student + 30 extra copies.

 

In addition, a copy should be submitted carrying the signatures of the examiner and the external examiner/co-examiner. The number of examinees appears from the lists of registered students. For security reasons, examination assignments must not be sent to Study and Students' Affairs but must be handed over by a member of staff from the relevant department.

 

Name and telephone number of the academic contact person available during the examination should be given when submitting examination assignments. The contact person must be able to come to the examination room in short time, if need be.

 

If special types of paper (e.g. graph paper) should be handed out at the exam, information about this should also be given when submitting the examination papers.

 

In closed-book exams it is the responsibility of the course coordinator to carry out random checks of the examinees’ pocket calculators, as the calculator memory must be cleared. Otherwise, pocket calculators are not regarded as reference material as such.

Layout of examination assignments

The assignment must provide information about:

  • The exact course code and course name (can be found in the course description)
  • Which reference materials are permitted
  • How the individual parts of the examination are weighted (if an overall assessment is made, please state this)

If the answers are to be written directly on the assignment handed out, please leave space to write:

  • In case of anonymous assessment:: Exam number, number of lecture hall, number of table
  • In case of non-anonymous assessment: Student number, name, number of lecture hall and number of table

The students are told that they must use pen or another permanent writing utensil. This is primarily on grounds of readability. However, we cannot refuse to receive a paper – irrespective of the answers having been written with pencil or lipstick.

 

If the examination is divided into two parts (one part being a closed-book exam and the other part with reference material permitted), one of the two following scenarios must be selected. If the examination assignment does not meet these requirements, it will not be acceptable.

 

Scenario 1

At the start of the exam, the first assignment is handed out (Part One, the closed-book exam part) When the answer to the first assignment is handed in to the invigilator, the second assignment is handed out to the student. The reference materials may then be used.

 

It is important that the second assignment is printed on coloured paper so as to make it clear to the invigilator that it is permitted for the student to use reference materials. A time must be fixed, at which Part One must be handed in at the latest, for instance not later than after two hours.

 

The following instructions for the examinee are written on the assignment:

The answer to the first examination assignment must be handed in after x hours at the latest. If you wish to hand in your answer before the expiry of the x hours, this is ok.

 

The second examination assignment will be handed out when you have handed in the answer to the first assignment, and at the same time you may start using reference materials.


Scenario 2

At the start of the exam, both assignments are handed out. The answer to the first examination assignment must be handed in at a fixed time at the latest.

 

The students may work on both assignments from the start of the exam but the use of reference materials is not permitted until after the time when the answer to the first assignment must be handed in.


The following instructions for the examinee are written on the assignment:

Both examination assignments are handed out at the start of the exam. It is ok for you to work with both assignments from the start but you are not allowed to use reference materials until after x hours. The answer to the first examination assignment must be handed in after x hours at the latest.


After the examination:

Please collect the exam answers in Study and Students’ Affairs. They will be ready at 10 0’clock at the latest on the first working day after the exam. If you wish to collect the answers earlier or directly in the examination room, this must be agreed with Study and Students' Affairs no later than two days prior to the exam.

 

The exam answers must be kept by the examiner until about one month after the marks have been awarded. This is done to facilitate possible questions from the students and to consider possible complaints.

 

During this period, the students are entitled to request a copy of the exam paper. They are then filed in accordance with the below guidelines.

 

A marking instruction should be prepared for all written examinations if possible. Following the exam, marking instructions should be sent to Study and Students' Affairs, who will publish the marking instructions along with the exam assignments.


Filing of exam papers

The following departments have arranged to keep their own exam papers:

Department of Basic Animal and Veterinary Sciences

Department of Small Animal Science

Department of Disease Biology

Department of Plant Biology and Biotechnology

Department of Agriculture and Ecology

Department of Basic Sciences and Environment

Centre for Forestry, Landscape and Planning

Institute of Food and Resource Economics

The exam papers of the other departments are kept by Study and Students' Affairs.

The exam answers must be kept for five years. After this period of time they must be scrapped. This may be done by Faculty Services as agreed.

When handing over exam papers to Study and Students’ Affairs, the exam papers must be wrapped up in a separate package for each exam. The package must clearly be marked with:

  • Course No.
  • Name of course
  • Examination date
  • Examination period

Irrespective of where the exam papers are filed, it is the responsibility of the department to ensure that the package has the right contents.
